  • Using Custom workflow creating Product Lines in the Sales Process

     Using CRM Out of box functionality, the user will create opportunity,quote, order and invoice and their respective products lines has to create manually. we can automate this process by using Custom workflow.

    This Custom workflow helps in, on creation of opportunity, opportunity details will be created. on creation of quote, quote details will be created, on creation of order, order details will be created and on invoice creation, invoice details will be created.

    Installation Process:

      Please download the Product Line solution and import into CRM.

    Process of using this custom workflow:

       Create workflow for each entity as mentioned below and this workflow will trigger on creation or update of below entity.

    • Opportunity
    • Quote
    • Order
    • Invoice

    Please enter input parameter details mentioned in the below screenshot.

    • Product Name: Name of the product.
    • Product: Selected Product for the Product Line.
    • Unit: If Product is assigned, a valid Unit for the product must also be assigned.
    • Price per Unit: Unit price for the Product Line.
    • Quantity: Number of Units .
    • Opportunity ID: The ID of the parent Opportunity (or Quote, Order or Invoice).

    Execute workflow on creating new record,a product line is created to this record with given input values .(Opportunity,Quote,Invoice,Order).

    Process of using Data Analysis tool:

    • First screen will be the Login Page. Either you can take the Single CRM or Source and destination CRM as per the requirement.
    • Select the CRM Type, whether it is office365, on premise or IFD.
    • Enter Login details by providing the user name and password.

    • Click on Login button, it will navigate to next window as shown below.
    • To perform an actions need to get the License key.
    • To get the License key, please email to salesteam@mtccrm.com with the unique organization name.
    • Click on License settings shown in the left corner of the window.
    • Activate License window will open. Enter the organization License key provided by sales team.
    • After clicking on Submit button, will get confirmation message saying that License has been accepted.
    • After entering the License key below options will be available.

    Record count

    Using this Main menu you can able to get the All or selected entities record count, status wise record count and owner wise record count.

    Total Record count - Gets the record count of all the entities. It can also get source record count and destination record counts. This helps migration team to identify any records got missed.

    Status Wise count - This operation helps in getting each entity count based on the status. You can compare the source and destination CRM side by side to identify data discrepancy.

    Owner Wise Count - Gets record count based on the owner. If two CRM credentials are provided it gives count of both CRM users side by side for data comparison.

                Click on Proceed to continue for further processing

    • Select entity or select all entities, click on arrow buttons to move the selected entities to next window.

    • In dropdown window, you can able to select the view as all entities record count, status wise record count and Owners wise record count.
    • By clicking on the download single file will be downloaded with selected view.
    • By clicking on Download all, all the files will be downloaded to the local system.

    Customization:

    • Helps in analyzing the CRM system in building the below inventory.
    • How many custom workflows implemented?
    • How many plugins implemented?
    • How many HTML web resources exist in the current system?
    • How many entities with custom attributes exist in the current system?
    • How many JavaScript’s are in the current system?
    • This data can be exported to excel for evaluation by the technical upgrade team to estimate the efforts for the upgrade and share with clients.

    • In dropdown window, you can able to select the view as all entities Attributes count, workflows, plugins, JavaScript’s, HTML Pages.
    • By clicking on the download single file will be downloaded with selected view.
    • By clicking on Download all, all the files will be downloaded to the local system.

    Data Detection:

    • Data detection will helps in finding the detailed information of CRM entities.
    • Click on Proceed to continue for further process.

    • Select the entity and related attributes by clicking on the arrow symbols.

    • Utilization provides the attribute wise data utilizations for the entities in the CRM system.

    • Helps in getting the utilization of an attribute in the CRM system and also to get metadata of any entity for technical documentation

  • Word Templates in Microsoft Dynamics CRM 2016

    This feature is introduced in Microsoft Dynamics CRM 2016 Version.

    Word Templates in CRM 2016 helps you to create personalized Word Templates for the CRM Entities chosen.

    Process of using Word Templates in MSCRM 2016 as below

    • Navigate to Settings -> Templates -> Document Templates -> New -> Select Word Template and entity.

    • To create a new document template, click on Document Templates as highlighted in the above image and then click on New button.It opens a pop up window as shown below.

    • In the pop up window, there is an option to select either Word/Excel template. As we want to create a Word Template, select the Word Template as highlighted in the above image.
    • Also, select the entity from the dropdown list and click on Select Entity.As example, let’s select Quote and proceed.
    • Then it will open a dialogue box which has all 1: N, N: 1 and N: N relations for the selected entity. You can select one or multiple relations among them.

    • Select the relation if you want to display the related data in word templates or else simply click on Download Template Button.
    • Let’s select the quote products sub-grid having 1:N relation and potential customer lookup of either account/contact.

    • Then after open the word template in MS office.
    • When a fresh document is opened, the Developer tab is disabled. So, before moving ahead, enable the Developer tab so that the attributes are included.

     

    How to enable the Developer Tab in MS Word?

    • Then it will open a pop up. Follow the below procedure as shown in the image for enabling the Developer Tab in MS Word.

    • Click on OK to see Developer Tab in your word document.

    • Now click on Developer tab -> Select XML Mapping Plane. The XML Mapping plane appears on the right side of the document.
    • Select the link urn:Microsoft-crm/document-template/account/1/ from XML Mapping dropdown list as shown below.

    • The attributes of the selected entities appear in the XML Mapping area.

    Steps for selecting the attributes for the document

    • For example, to display QuoteID right click on the attribute, effectivefrom from XML Mapping -> select the Insert Content Control and then select the Rich Text/Plain Text option.
    • These steps are illustrated in the image below.

    • After selecting Rich/Plain Text, the view will be applied as shown below.

    • Do not capitalize the first letter of logical name of attribute. If the first letter appears to be in upper case then navigate to File option in Word Template -> select Option -> Select Proofing -> Click AutoCorrect Options.

    • To display the records of the sub-grid, create a table and insert the attribute from Insert Content Control option.
    • To display all records of sub-grid, first select a row from table then right click relationship entity from XML Mapping and then select the Insert Content Control followed by the Repeating option.
